Terms and Conditions

 

By placing a booking with VIP Charter, you agree to the following Terms and Conditions and authorise VIP Charter to charge your account in full for all charges related to your reservation, including (but not limited to) full charges in the event of a No Show.

 

ONLINE BOOKING REQUEST & BOOKING CONFIRMATION

 

Important Notice: Submitting a quotation request or completing our online booking form does not constitute a confirmed booking. You are only requesting a quote or transfer with VIP Charter. All bookings must be reviewed and confirmed by VIP Charter.

Once your request has been processed, you will receive a booking confirmation or quotation via the email address you have provided. Requests are processed during office hours (8:00 AM – 5:00 PM, Monday to Friday).

 

INSTANT ONLINE QUOTATION / BOOKING SYSTEM

 

Our instant online quotation system applies only to general point-to-point transfers and airport transfers. It does not apply to special occasions, events, or wedding car hire.

 

HOURLY RATES

 

Hourly rates do not apply to point-to-point transfers. Hourly services are limited to travel within a 15 km radius of the original pickup location and are typically used for weddings, special occasions, or corporate events where the vehicle remains on standby.

 

AIRPORT ARRIVAL WAITING TIME

 

• Domestic arrivals: 45 minutes complimentary

• International arrivals: 60 minutes complimentary

Additional waiting time is charged in 15-minute blocks at $25 per block, unless otherwise agreed in writing.

 

FLIGHT ARRIVAL TIMES

 

VIP Charter monitors live flight arrival times. Waiting time is calculated from the actual landing time, not the scheduled arrival time, and will automatically account for flight delays.

 

AIRPORT MEETING POINT

 

Your chauffeur will meet you in the Arrivals Hall, holding a sign with your name. They will assist with luggage and escort you to your chauffeured vehicle.

 

WAITING TIME (GENERAL BOOKINGS)

 

A 10-minute complimentary waiting time applies to all non-airport bookings. Additional waiting time is charged in 15-minute blocks at $35 per block.

 

POINT-TO-POINT TRANSFERS

 

Point-to-point transfers include 10 minutes complimentary waiting time. Additional waiting time may incur charges.

 

VEHICLE ACCESS, DRIVEWAYS & SAFETY

 

For safety and vehicle protection reasons, VIP Charter reserves the right for chauffeurs to decline entry into driveways, private roads, or restricted areas if they are deemed unsafe. This includes (but is not limited to):

• Steep, narrow, or poorly maintained driveways

• Low-clearance access points

• Areas with limited turning space

• Construction zones or unsafe surfaces

In such cases, the chauffeur will stop at the nearest safe and legal pickup or drop-off point. No refunds or discounts apply in these circumstances.

 

PASSENGER CONDUCT, INTOXICATION & ALCOHOL

 

VIP Charter reserves the right to refuse or terminate service if any passenger is:

• Visibly intoxicated

• Consuming alcohol in the vehicle (unless explicitly approved in writing)

• Using illegal substances

• Acting in a disorderly, abusive, or aggressive manner

• Behaving in a way that compromises safety or comfort

This decision is at the sole discretion of the chauffeur and VIP Charter management. No refunds will be issued if service is refused or terminated due to passenger behaviour.

 

DAMAGE, CLEANING & LIABILITY

 

The client is fully responsible for any damage caused to the vehicle, whether accidental or deliberate. This includes (but is not limited to):

• Interior or exterior damage

• Excessive cleaning due to spills, vomit, food, or bodily fluids

• Damage caused by passengers, luggage, or personal items

All repair, cleaning, and downtime costs will be invoiced to the client. VIP Charter reserves the right to charge the card on file.

 

CANCELLATION POLICY

 

Minimum cancellation notice required:

• General Transfers: 24 hours

• Airport Arrivals: 24 hours

• As-Directed / Hourly Hire: 24 hours

• Special Occasions: 48 hours

• Weddings: 5 days

Cancellations outside these timeframes incur an 80% cancellation fee. Cancellations within 4 hours of pickup or No Shows incur a 100% cancellation fee.

 

RATES & SURCHARGES

 

All rates include GST, tolls, parking, and airport levies, unless stated otherwise. Public holiday, major event, or peak-demand surcharges may apply and will be advised upon request. Gratuities are optional.

 

NIGHT SURCHARGE

 

A 20% surcharge applies to all pickups between 11:00 PM and 6:30 AM.

 

PAYMENT TERMS

 

Full payment is required in advance to confirm and secure all bookings.
